This policy explains what personal information we collect, why we collect it, who we share it with, and what you can do about it. It is written to be read, not to be survived. If anything here is unclear, email us and we will explain it in plain words.

We are a small Australian business based in Sydney, New South Wales. We run fitness sessions, junior sessions, team bookings and events, and in time we will run sanctioned chessboxing bouts with published results and rankings.

What we collect, and when

We only collect information when you give it to us, or when someone gives it to us on your behalf.

When you join our mailing list. Your name and email address. On some pages we ask for one extra detail so we can plan the thing you are interested in: a suburb if you are asking about contact training, or a child's age and a parent's mobile number if you are asking about junior sessions.

When you register for an event. Your name, email address, mobile number, how many people are in your group, whether anyone in that group is under 18, and how you heard about us. Registration runs through our online store, so a customer record is created for you at the same time.

When you apply to join the Fight Team. This is our longest form, because matching people safely for a combat sport means knowing who they are. We collect your name and contact details, suburb and postcode, date of birth, gender, chess usernames and ratings, boxing and combat sport experience, stance, weight, height, reach, a link to any footage of you, your reasons for applying, your availability, the earliest date you could fight, and a photograph of yourself.

We do not ask for medical information on this form. If you are selected to fight, we send you a separate document to complete and sign electronically, and medical and injury information is collected there.

When you book a session, membership or team booking. Your booking and attendance records, and for memberships your subscription status, including pauses and cancellations.

When you contact us. Whatever you put in the form: typically your name, email, phone number and message. Media enquiries also ask for your outlet and your deadline. Job enquiries ask which role you are interested in.

When you apply to work with us. Your contact details, the role you are after, and anything you choose to tell us about your experience. If a role involves working with children, we will also need to sight a Working With Children Check, and we will keep a record that we did.

When you buy something. Your name, email, delivery address and order details. We never see or store your card details, as payments are handled directly by our payment provider.

When you message us on social media. A lot of our enquiries arrive as Instagram or TikTok messages. If you contact us that way, we hold whatever you have sent us, and the platform holds it too under its own privacy policy.

When something goes wrong at a session or event. If someone is injured or an incident occurs, we make a written record of it: what happened, who was involved, and any injury. We are required to keep these for insurance purposes.

Information other people give us about you

Sometimes we receive your details from someone else rather than from you directly.

Group and event registrations. One person can register several people. If someone signs you up, we hold your name and whatever else they told us.

Team bookings. When a business books a session for its staff, we usually receive a list of attendees and sometimes information about injuries or requirements relevant to taking part safely.

Juniors. Where a participant is under 18, we collect their information from their parent or guardian.

If you have been given to us by someone else and you would rather we did not hold your details, email us and we will delete them.

People under 18

Under-18s are welcome at our public events, but they must be registered by, and accompanied by, a parent or guardian. Our Fight Team is 18 and over only, and juniors never take part in contact training or bouts.

For junior participants we may hold the child's name and age, any medical, allergy or injury information the parent gives us, an emergency contact, and photographs or video from sessions.

In every case it is the parent or guardian who provides the information and gives consent, including consent for photographs and video. We do not knowingly collect information directly from a person under 18 without a parent or guardian involved. If you believe we have, contact us and we will delete it.

Where our staff or coaches work with children, they hold a current Working With Children Check.

Results, rankings and the record book

If you compete in a sanctioned Chessboxing Australia bout, some of your information becomes public and stays public.

That includes your name, any ring name, your bout results, your record, and your position in our rankings. Publishing and maintaining an accurate record book is a core part of running a sport, and it is what makes titles and rankings mean anything.

This information is permanent. If you later ask us to delete your personal information, we will do so, but we cannot remove a historical result from the record book, any more than a sporting body could erase a past championship. Results are a record of something that happened.

If you are not comfortable with that, do not compete. Ask us before you apply and we will talk it through.

Our chess club

We run a Chessboxing Australia club on chess.com. If you join it, your chess.com username and anything on your chess.com profile is visible to other club members, and chess.com holds your information under its own privacy policy, not this one. You can leave the club at any time.

Why we collect it

To run the thing you signed up for. To match fighters safely and fairly. To keep people safe and to meet our insurance obligations. To send you information you have asked for. To answer your enquiry. To send you what you bought. To understand which of our channels actually reach people, so we spend our limited effort in the right places.

We do not sell your information to anyone, and we do not disclose it for anyone else's marketing.

Who we share it with

We use a small number of established service providers, and they only receive what they need to do their job.

Our online store and payment processing run on Shopify. Our email is sent through Klaviyo. Our forms run through Shopify Forms and Powerful Form Builder. We use Google Analytics and the Meta pixel to understand how people find and use the site. Documents needing a signature are sent through Adobe Sign. Email you send to our contact address reaches us through Squarespace Email Forwarding, which routes via Mailgun, before it arrives in our inbox.

Some of these providers store information on servers outside Australia, including in the United States. By using this site you accept that your information may be stored overseas by them.

Regulators. If and when our bouts are formally sanctioned, we may be required to give participant information to a combat sports authority or similar body. Where that applies we will tell you before you compete.

Insurers. If there is an incident or a claim, we will share what is relevant with our insurer.

Other cities. We intend to expand to other Australian cities, some of it through licensed operators. If your local sessions are ever run by a licensed operator rather than by us, we will tell you before anything about you is shared with them.

The law. We will disclose information where the law requires it.

Cookies and analytics

Our site uses cookies to keep the store working, remember your cart, and measure how the site is used. You can block or delete cookies in your browser settings, though parts of the site may stop working properly if you do.

Marketing emails

If you join our mailing list, you are joining one list and you will hear about everything we do: sessions, events, juniors, team bookings, merch, fight nights. We do this deliberately rather than running separate lists, because we would rather tell you everything and let you decide what interests you.

Every email has an unsubscribe link. One click and you are out, permanently, and we will not add you back.

Filling in a form on this site will never turn off an email subscription you already have.

Photographs and video

Almost everything we do is filmed and photographed. It is how a new sport gets built.

We ask for your consent before we collect your details, and we do not publish images of anyone who has not given it. If you have given consent and later change your mind, email us and we will stop using your image going forward. We cannot always remove images from material already published or shared by others, but we will make reasonable efforts.

If you are at a public event and do not want to be filmed, tell us on the day and we will keep you out of frame.

How long we keep it

We keep your information indefinitely, unless you ask us to delete it.

We are building a sport from nothing, and someone who enquires today may become a member, a fighter or a coach years from now. We would rather still know who you are when that happens. If you would prefer we did not, email us and we will delete your information.

The one exception is the record book described above, which is permanent.

Getting your information, or getting rid of it

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email us and we will respond within a reasonable time, at no cost.

If you unsubscribe from our emails we keep a minimal record of your email address purely so we do not accidentally email you again.

Keeping it safe

We use reputable providers with their own security measures, and we limit access to what is genuinely needed. No system is perfectly secure and we cannot guarantee absolute security, but if something happens that affects you, we will tell you promptly and directly rather than burying it.

Complaints

If you think we have mishandled your information, email us first. We would rather hear it directly and fix it.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We will update this page when what we do changes. The date at the top tells you when it last changed. If we make a significant change we will say so in an email rather than quietly editing the page.
